Develops and manages student-athlete life skills programming, focusing on leadership, academics, wellness, career development, and personal growth. Engages with student-athletes, staff, and prospective families to support student success and well-being. Oversees all aspects of ICA-sponsored camps, ensuring compliance with university and NCAA regulations. Manages operations, training, staff coordination, marketing, and software systems related to camps and clinics. Supports major department events and programming, including awards and recognition ceremonies. Assists with logistics and other duties as assigned. Acts as a liaison with campus housing, provides support to student-athletes regarding housing issues, and conducts housing orientations and training. Reviews, drafts, updates, and implements department policies to ensure compliance. Conducts training for staff on new and revised policies.
Job Functions and Percentages of Time:
30% Student Services Coordination - 1) Create and implement assessment of student-athlete services and resources. 2) Create a comprehensive and strategic programming plan that provides student athletes with tangible skills to support their experience beyond UC Santa Barbara. 3) Create and manage all aspects of the student athlete life skills programming designed to enhance student athlete experience within the university setting by coordinating educational programming in areas inclusive of but not exclusive to leadership, academics, athletics, career development, personal development, health and wellness and service commitment. Programming includes a variety of workshops, educational sessions and experiential learning. Requires an in-depth understanding of the needs of student-athletes and challenges student-athletes face. 4) Lead and participate in team meeting and department meetings. 5) Meet with prospective student-athletes and families on official/unofficial visits to provide information about UCSB Intercollegiate Athletics programs, student-athlete resources, and life at UC Santa Barbara.
40% Camp Coordinator - 1) Coordination and oversight of the operations of ICA-sponsored camps. Requires thorough knowledge of UCOP/UC Santa Barbara and NCAA legislation, guidelines and procedures to ensure camps are in compliance. 2) Maintain a UC Santa Barbara ICA camps and clinics operational manual. 3) Oversees education to the ICA coaches and staff regarding camps and clinics operations and requirements. 4) Oversee ICA camps steps and approvals to "go live" and overall online presence. 5) Ensures camps are established and setup in accordance with ICA camp guidelines and procedures inclusive of facilities scheduling and contracts coordination. 6) Handling of all day-to-day operations of the camp office. 7) Develop and oversee a comprehensive training program covering all aspects of internal and external camp operations. Provide training to ICA staff/coaches on camp policies and procedures. 8) Promptly reports any potential violation or concern to ICA Compliance Office for evaluation and review. 9) Assists with coordination of staffing for the camps, including working with the ICA Business Office to ensure all paperwork and training are complete prior to participating as a camp employee or camp volunteer. 10)Serves as liaison with ARMS software representatives as it relates to the camp module in ARMS. Works with appropriate department staff to identify any needs for camp financial or demographic information and coordinates with ARMS representatives. 11) For Non-ICA sponsored camps, where UCSB staff are engaging, ensures camp activities are in compliance with Campus and NCAA guidelines and regulations. 12) Work with marketing and sport specific personnel to develop and implement a camps and clinics marketing plan. 13) Become proficient running reports and interpreting data analysis related to camps and clinics.
10% ICA Administrative Duties - 1) Assist with departmental programming and award programming that involves academic, athletic and student services accolades inclusive of but not exclusive to: AD honor roll breakfast, SB Awards, and ICA Sash Ceremony. 2) Responsible for coordination, logistics and scheduling of complex and high-visibility ICA department events inclusive of but not exclusive to Gauchos Back, Transitions Programming, ICA Career Fair and Student Athlete Advisory Committee (SAAC) meetings and events. 3) Other duties as assigned by the Director of Intercollegiate Athletics or their designee.
10% Coordination of Housing, Dining and Aux. Services - 1) Act as a liaison to all on campus housing. 2) Work closely with on and off campus administrative staff as necessary to resolve conflicts and other problems pertaining to student-athletes. 3) Provide preferred housing slots at the discretion of this position. 4) Ensure that student-athletes are identified in the on campus housing database for position to be selected in the lottery. 5) Independently counsels and advise coaches, student-athletes and Job Standards in regards to on campus policies and procedures. 6) Responsible for housing orientation sessions for all coaches and administrative staff.
10% Policy Coordination - 1) Ongoing review of department policies to ensure compliance with University, Big West Conference, and NCAA guidelines, policies and procedures and identify policies needing updates. Coordinate with appropriate staff to analyze policies and identify changes needed. 2) Prepares policy drafts for ICA Executive Staff review and discussion. 3 )Implements changes as appropriate and updates policies. 4) Provides training on new policies to all ICA staff.
