The Office of the University Registrar (UREG) at the University of Virginia seeks a experienced individual to join its collaborative team as School Certifying Official for Student-Athlete Eligibility Certification through May 31, 2025.
Part of the Enrollment Division, UREG advances the university’s teaching mission by maintaining the accuracy, integrity, and security of student academic records. It also advances the institution’s commitment to Inclusive Excellence by continuously considering the impact of its work with students and their families, especially those from marginalized communities, and by attentively listening and responding to their needs. UREG is responsible for monitoring and certifying student-athlete eligibility to ensure compliance with the National Collegiate Athletic Association (NCAA), Atlantic Coast Conference (ACC) and University of Virginia by-laws, rules, regulations, and policies that apply to continuing student-athletes. This position serves on a team of professionals who support the development, flourishing, and achievements of student-athletes, working closely and collaboratively with the schools, Student Financial Services, Athletics Academic and Student Development, Athletics Compliance, the faculty athletics representative, and the SA Eligibility Team in UREG.

Assess academic eligibility each term for NCAA student-athletes and resolve concerns that hinder a student-athlete's eligibility status.
Maintain and manage all certification databases for accuracy and consistency (Compliance Assistant 2, ARMS, and UREG SA Eligibility web application).
Serve as reviewer/approver for student-athletes in all electronic workflows within SIS (i.e., grade changes, leaving and returning to the university).
Collaborate with Athletics Academic and Student Development and school registrars to complete the declaration of major process for all student athletes (including major deferrals).
Provide support and guidance to colleagues in schools and departments, as needed, to gain clarification of degree requirements and applicable school policies.
Assist with training new colleagues on NCAA academic eligibility rules and certification processes.
Collaborate with Athletics Compliance and Athletics Academic and Student Development to contribute to accurate and timely submission of Academic Progress Rate (APR) report
Audit schedules for student-athletes at the start of each term to ensure degree applicability of courses.
Collaborate with Athletics Academic and Student Development and Athletics Compliance to implement processes that identify student-athletes at risk of not meeting athletic and/or academic eligibility standards.
Participate in team meetings with colleagues from UREG, Athletics, and other units to discuss policy updates, collaborate on special projects, and provide updates for yearly tasks.
Monitor and manage student-athlete enrollment status changes, student progress, evaluate student academic progress, etc.
Manage records retention according to federal, state, and University regulations
Required Knowledge, Skills, and Abilities
Excellent attention to detail and ability to communicate effectively both orally and in writing.
Ability to listen and communicate effectively, both orally and in writing, with people from all levels and backgrounds at the University, including students, families, and faculty members.
Excellent analytical skills—ability to independently define problems accurately and concisely, using both quantitative and qualitative methods, develop and execute one or more solutions, and evaluate its effectiveness.
Ability to work successfully and respectfully with individuals from diverse backgrounds, cultures, and life experiences.
Ability to work well with minimal supervision, while also collaborating with others internally and externally, valuing diverse perspectives and input.
Ability to achieve success within a rapidly changing and, at times, uncertain environment—must be comfortable with and inspired by the prospect of change.
Required Education
Bachelor’s degree required; 4 years of higher education or student records experience may be substituted in lieu of degree
3 or more years of experience certifying student athletes for NCAA eligibility in a higher education setting
