The Executive Assistant/Executive Coordinator to Bernard Muir, The Jaquish & Kenninger Director of Athletics provides executive-level administrative and professional support to the Athletics Director. This position serves as the first point of contact to the Athletics Director (AD) internally and externally, assisting with a variety of administrative responsibilities, many of which are sensitive and confidential in nature. The EA/Executive Coordinator manages administrative functions, serves as an information hub on behalf of the AD and maintains a high level of awareness of the AD’s priorities. The incumbent must manage competing priorities in a fast-paced environment and must be able to evaluate and set work priorities according to the needs of the office. Must be able to work independently, proactively, and collaboratively.
The position requires the ability to interact diplomatically and efficiently with a broad range of individuals, including donors, trustees, coaches/staff, students, university administrators, and external colleagues. They will be comfortable working to deadlines and remaining flexible and resourceful. Excellent communication skills, a high degree of discretion, a commitment to providing excellent service and building positive working relationships, and attention to details are equally important. This position is based on the Stanford main campus with the opportunity for telecommuting.
Your responsibilities include:
Manage all administrative tasks related to the AD’s office, including managing email communication, scheduling, coordinating travel, organizing events, preparing presentations and tracking deadlines
Partners closely with Development Office colleagues to coordinate logistics for cultivation and stewardship events and drive appropriate follow-up processes
Effectively and professionally represent the AD’s office and DAPER, as appropriate, in internal and external meetings and events. Serves as liaison between the AD’s office and other offices at the University.
Manage, track, and help triage and respond to internal and external communications between the AD and other parties and ensuring appropriate follow through.
Prepare trip briefings, strategy documents, and stewardship reports, working closely with DAPER Development colleagues.
Maintain a comprehensive working knowledge of the University and the fundraising priorities across the DAPER and Stanford
Manage complex business travel, purchases, and financial transactions in compliance with university and NCAA policies.
Deliver programmatic and administrative support for in-person and virtual team meetings and all-hands, including scheduling, booking rooms, event registration, inviting and coordinating speakers, drafting agendas, preparing materials and handouts, and other coordination as needed
Manages assigned projects through all phases from initiation to completion and evaluation
Maintains confidentiality and exercises discretion with private and/or sensitive information
The ideal candidate will be available for occasional travel, including overnight travel, to coordinate and manage offsite events, gatherings, greet guests and donors, etc.
This position's responsibilities also include varied projects and tasks arising out of shifting demands that cannot always be foreseen. A desire to bring order, initiative, and collaboration are essential.
To be successful in this role, you will have:
Bachelor's degree and seven years of relevant experience or combination of education and relevant experience; demonstrated extensive experience supporting the initiatives, operations, and daily activities for an executive level position, preferably in higher education/collegiate athletics.
Strong interpersonal skills and ability to work effectively with a wide variety of people. Successful track record of engaging with diverse audiences while being discreet, courteous, and diplomatic. Demonstrated ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies.
Experience with high-level decision-making, planning, organizing, monitoring, prioritization, and collaborating.
Strong oral and written communications skills and ability to create communications that are thorough, helpful, and reinforce DAPER's mission.
Experience conducting research, analyzing results, and report writing.
Ability to exercise good judgement and discretion analyzing and resolving confidential, difficulty, and sensitive information.
Experience creating, reviewing, and developing documents, presentations, and materials.
Ability to work both independently and as a team to contribute to team objectives. Can establish and maintain cooperative working relationships with coworkers, staff, coaches, and administrators.
Outstanding organizational skills, accuracy, and attention to detail. Ability to meet deadlines, juggle multiple projects simultaneously, and tolerate interruptions. Demonstrated ability using Microsoft Office applications such as Outlook, Word, Excel, and PowerPoint. Ability to master new IT tools, resources, and databases.

The expected pay range for this position is $90,000 - $110,000 per annum.
