Operations, Operations - Administrative Support, Operations - Business Office
Act as the liaison to oversee and perform the day-to-day operational tasks focused on membership assistance and support, and be the point of contact for general communication to respond to e-mail and phone inquiries. Reports to and receives work direction to perform additional duties as assigned by the Executive Director. Office Hours are Monday through Friday 9:00am – 3:00pm, with some non-traditional & weekend office hours work required.

Must have a minimum of two years’ experience in a position similar in scope.
Must possess a working knowledge of computers, computer programs and membership service platforms
Associates degree or higher education
Experience in working in the membership registration platform Got Soccer
Experience in working in team administration platform HTG Sports
Experience with creating and updating printable information for membership, tournaments and events
Experience in day-to-day office business operations
Oversee all administrative and managerial duties related to the Association’s registration system for all events and programs: player registrations by clubs/leagues, develop and maintain state tournament entry, registration for association events, etc.
Provide first line of customer service by handling routine requests for information and/or materials from KSYSA Membership. Route calls as appropriate.
Approve submissions to host tournaments and process post-tournament reports and fees.
Prepare and submit required membership reports to US Youth Soccer.
Support the KSYSA E-travel system which includes Guest Player Registration Form and Out of State Travel Permits.
Administer out of state player approvals and letters for out of state guest players, to include communicating with other state administrators.
Administer and coordinate "certificates of liability" for all facilities used by KSYSA and member clubs on an annual or as necessary basis.
Coordinate KSYSA registration and travel arrangements for US Youth events.
Serve as meetings and travel coordinator for KSYSA board and staff, to include securing facilities, contracting for food, beverage and making hotel reservations.
Serve as the primary contact for office machine maintenance.
Prepare bank deposits.
Track reoccurring monthly transactions.
Help with organization and registration for KSYSA State Tournaments, ODP Programing, and ODP Regional Tournaments.
Support administrative responsibilities with the Midwest Soccer Alliance initiatives.
Attend appropriate professional meetings and training sessions.
Keep KSYSA office presentable and organized
Help oversee volunteers and contract workers who have responsibilities for KSYSA sponsored programs, tournaments and events.
Day-to-Day Working Environment
General office setting with moderate noise
Occasional outdoor work (Programs, Tournaments & Events run by KSYSA) in adverse weather conditions & work travel.
Regular activities may require the ability to quickly change priorities and problem solving
